OPERATIONS MANAGER- BREWTON/EVERGREEN/FRISCO CITY Job at Franklin Primary Health Center, Inc.
JOB SUMMARY:
The Operations Manager provides on-site operational leadership on a 24-hour basis (including weekends and holidays). Supervise and coordinate operational activities of the office manager for the Center site; perform administrative functions for operational improvements. The Operations Manager must act independently to provide crisis management, interpret policy, make timely decisions that directly impact patient care, ensure timely and effective communication and collaboration among departments, and provide operational oversight throughout the Health Center.
This position requires considerable analysis, decision-making and interaction with the management team.
ESSENTIAL FUNCTIONS:
1. Supervise and coordinate operational activities and support staff within the Center’s operations department to assist clinical staff in the day-to-day operations of administrative clinical procedures for each site.
2. Performs activities involved in the daily management of site administrative operations.
a. Maximizing collections at the time of the patient encounter,
b. Ensuring that data collected at the beginning of the patient encounter is sufficient to maximize Medicaid, Medicare, and Third-party collections following the visit
c. Coordinate the development and review of patient scheduling procedures to maximize utilization and patient -satisfaction; plan and schedule support staff to ensure proper distribution of assignments and adequate personnel, space and facilities for performance of procedures.
d. Investigate patient/visitor concerns and implements appropriate courses of action.
3. Front Desk/Intake Management
a. Monitors front desk and intake staff to assure that appropriate levels are maintained.
b. Oversee Appointment Scheduling.
c. Work with Office Managers and staff to ensure that Reminder Calls are initiated for all appointments.
d. Evaluate current procedures for intake and front desk; recommend and implement new procedures for improving efficiency and cycle time.
e. Develop method for evaluating productivity and accuracy of individual front desk and intake staff.
f. Provide patient accounting system training/re-training to all Front Desk, Intake, and Office Management staff as needed.
4. Prepare operational reports and analyses setting forth progress, adverse trends and appropriate recommendations or conclusions.
5. Maintain current knowledge of all billing requirements for Medicaid, Medicare, and Third-party payers.
6. Work with MIS Department to automate and/or streamline existing procedures.
7. Work with MIS Department to develop reports necessary to perform duties.
8. Work with Medical Records Director to reduce and minimize duplicate charts.
9. Assist management team by ensuring that staff is JCAHO and HIPAA compliant.
10. Recommend various personnel actions including, but not limited to, hiring, performance appraisals, promotions, transfers, and vacation schedules; develop training programs.
11. Develop incentive program for Operations staff.
EDUCATION/EXPERIENCE:
B.S. degree in Business Administration, Management or related field with five plus years experience in the management of healthcare billing and collections (seven years without a degree). Experience in a not-for-profit environment is a plus.
Job Type: Full-time
Pay: $42,500.00 - $50,000.00 per year
