The purpose of the role:

Coordinate, administer, and oversee customer claim processes via phone/email for all Barrette Outdoor Living accounts. Research and review documents for processing all claims due to multiple issues (defects/shortages/damaged/customer satisfaction etc) whilst ensuring company policies and procedures are in compliance. Serve as a liaison with pro and retail re-sellers, internal sales, finance, and all departments needing involved within each claim process. Utilizes the company’s database (SAP/CRM) to record activities and research product information. Provide customers, retailers, sales, collections, and freight carriers with answers within 24 to 48-hrs

Responsibilities:

  • Answer incoming calls and emails from all clients, carriers and internal personal
  • Investigate and make determinations if pro dealers/retail stores/customers/carriers should receive credit
  • Provide customers with the details/terms of each denial or credit approval prior to processing – approvals are sent an RGA/Credit Agreement Form for signing
  • Enter credits, debits or RGAs
  • Provide directive to pro/retail store/customer/carrier on how to proceed with replacement orders, expedites etc.
  • Arrange pick-ups on pro returns, acting as the liaison with the dealers, dispatch, inside sales and carriers.
  • Directing retail accounts on return carriers and receiving facilities
  • Work directly with the Freight Claims Analyst to provide necessary information to initiate freight claims
  • Work closely with carriers, third party delivery agents etc on issues
  • Send confirmation of returns and disposition to pro, retail stores, carriers, and delivery agents via email
  • Process internet returns via portals and issue RGA’s if necessary (HD.com, Lowes, Wayfair, Amazon, Ace, Menards etc.)
  • Maintain all email boxes
  • Review details and issue RGA’s for Buy Backs as directed by VP’s of each account
  • Process and investigate paperwork as requested by the Accounting Dept.
  • Run SAP reports as required
  • Work directly with each plant to ensure all returns are processed accurately
  • Analyze and communicate any recurring client discrepancies with quality, shipping or any departments needed
  • Act as a liaison between production, engineering, CAD, accounting, shipping, and clients to ensure superior customer service and communication at all points in the process of the claim’s lifecycle. Other duties assigned or deemed necessary determined based on the needs of our clients and BOL.

  • High school education or the equivalent is required
  • Associates Degree Preferred
  • Must have 2 years of experience in customer service, claims or related area
  • SAP experience is preferred
  • Knowledge of administrative and clerical procedures and systems such as word, excel processing, managing files and records, and other office procedures and terminology
  • Experience working with major retailers is desirable (Lowe’s, Home Depot, etc.)
  • Good organizational skills with ability to multitask
  • Must be able to deal with changing priorities
  • Solid communication and interpersonal skills to deal with all levels in the organization as well as customers
  • Must be able to rely on your own judgement within BOL’s policies to make sound and responsible decisions
