Position: Receptionist

Reports To: Executive Assistant

Key Role: The Receptionist role is focused on creating a welcoming environment to employees and guests. In this role, the individual will assist with a variety of clerical and administrative duties., This individual will be the first person that clients see as they walk through our door, and therefore, must maintain a professional appearance at all times.

ENTRY SKILLS:

  • Working Knowledge of Microsoft Excel, Word, Outlook.
  • Ability to schedule and maintain appointments and calendars.
  • Effective communication (both oral and written), organization, and interpersonal skills.
  • Can effectively write and edit documents such as letters, reports, and instructional documents.
  • Good attention to detail, with the ability to identify discrepancies.
  • Positive attitude, eagerness to learn, and passion for continuous improvement.
  • Experience creating and maintaining filing systems, both electronic and physical.
  • Ability to work independently as well as part of a team.

RESPONSIBLITIES:

  • Stock and maintain order in breakrooms, conference rooms, and office supply areas. This includes drinks, food, and office supplies. Maintain cleanliness throughout said areas, including monthly clean outs in breakrooms, and maintaining conference rooms (pushing in chairs, removing items, etc.), and office supply areas.
  • Maintain and be responsible for office copiers and printers, maintenance, and supplies.
  • Ordering and overseeing catering as needed, including set up and clean up.
  • Order and maintain company wide safety PPE, office supplies, name plates.
  • Update and maintain company phone log, office manual, office seating chart, postage meter, Brivo badging system/ employee access.
  • Receive deliveries and mail, both incoming and outgoing. All delivery service providers.
  • Provide additional support for the executive team, Senior Vice Presidents, Vice Presidents, Executive Assistant, Marketing Manager, and provide additional support as needed throughout different holidays and internal events.
  • Booking travel for new hires and existing employees.
  • Handling pool car reservations.
  • Renew contractor licensing as needed.
  • Act as the main point of contact for EStreet phone system.
  • Act as liaison with landlord/CBRE
  • Reconcile Credit Cards
  • Additional office tasks including but not limited to watering plants, organizing front desk, etc.

Job Type: Full-time

Pay: $25 - $30 per hour
