Purpose of Position
The purpose of this position is to provide comprehensive purchasing coordination and assistance to the Chair, faculty, and staff of the Biomedical Sciences Department. This position will also track and report equipment and supply inventories, supervise student employee for inventory, function as the departmental telephone counselor, and provide general administrative secretarial office support. The Purchasing Assistant also coordinates preventative autoclaves/sterilizers located in the SMHS, Columbia Hall and Neuroscience Building with maintenance vendor and labs and pay invoices for the SMHS Administration and Finance Department. Coordinating freezer alarm info with UND IT, UND Facilities Management Building Automation Supervisor and Biomedical Sciences Department labs.
Duties & Responsibilities
- Purchasing Coordinator
- Obtain vendor quotes, prepare, and process all purchase orders for major equipment through Jaggaer
- Work in conjunction with the departmental Finance Officer, SMHS Administration and Finance, and UND Purchasing/Procurement and Payment Services as necessary for bids, quotes, and other information
- Work with SMHS Admin & Finance to manage autoclave preventative maintenance service, major equipment purchases, and department major equipment service contract purchase orders in Jaggaer
- Train new PIs/personnel in Jaggaer use
- Assist with International orders on a P-card outside of Jaggaer
- Assist with VPAT software orders
- Inventory Control
- Maintain inventory records for all departmental major and minor equipment using WASP software and Excel spreadsheets
- Coordinate annual physical inventory and complete necessary verification of location for UND Asset Management/Finance
- Remove surplus equipment from inventory
- Supervise student employee(s) during inventory
- General Office Assistance
- Answer phones, greet visitors, interact with and assist faculty and staff
- Facilitate distribution of FedEx, UPS, and other deliveries to laboratories
- Print FedEx or UPS shipping labels for laboratories
- Manage daily intercampus mail to Columbia Hall and Neuroscience Building
- Serve as departmental telephone counselor
- Coordinate departmental speakers visits/travel/housing/meals
- Work with SMHS administration to process work orders and project requests
- Coordinate room reservations and announcements for seminar series, comprehensive exams, dissertation defenses
- Administer guest parking passes
- Coordinate laundry and custodial services
- Schedule rooms for meetings
- Serve as backup for other position in the office as necessary
- Coordinate -80 freezer alarm info with UND IT, UND Facilities Management Building Automation Supervisor and Biomedical Sciences Department labs
- Surplus of departmental equipment
Required Competencies
- Knowledge of and experience with MS Office Software including Word, Excel, PowerPoint, and MS Outlook Calendar
- Knowledge and experience of the Jaggaer system
- Knowledge of UND and SMHS administrative, purchasing, inventory, and records management policies and procedures
- Excellent verbal and written communication skills
- Ability to prioritize and organize work assignments
- Ability to work with diverse groups to accomplish the mission of the Biomedical Sciences Department, the SMHS, and the University as a whole
- Experience with contracts
Minimum Requirements
- High School Diploma or GED
- Two years of experience in a related office, preferably in an academic setting
- Successful completion of a criminal history records check.
