This position is part-time and fully remote, with approximately 80% of the hours expected to be done between business hours of 9am - 5pm Mountain Time.

Williamsburg Learning’s most valuable resource is its people. The People Operations Assistant helps ensure the company achieves its strategic objectives by assisting in the lifecycle of the employee effectively and supporting Human Resources processes to maintain compliance.

We are looking for a detail-oriented, fast-paced people operations professional with a strong background in human resources. This position needs to have an affinity for projects and processes and be very organized.

The People Operations Assistant reports to the People Operations Director and works with other members of the Administration Team. This position also works with cross-functional teams when needed.

This position is a part-time, remote position for an individual who resides in the US and is authorized to work in the US. We are unable to sponsor visas.

This position is accountable for performing the following functions:

Employee Life Cycle Support
  • Project Manage People Ops Initiatives and Communication: Health & Wellness Challenge, Quarterly Conversations, Annual Reviews
  • Hiring: Advertise job openings for Williamsburg Learning and partner schools. Schedule interviews for the People Operations Director and hiring manager for Williamsburg Learning. Conduct reference checks if needed.
  • Recruiting. Tracking the volume of candidates in posted requisitions and adjusting the requisitions accordingly. Performing searches for candidates in specific requisitions as designated in effective platforms.
  • Onboarding & Orientation: Ensure every new employee has a warm welcome and quick onboarding process. Oversee G Suite user accounts, permissions, and membership in groups. Delegate portions of the onboarding process to other designated team members.
  • Transitions: Assist in employee transitions to other roles and assignments through People Operations platforms.
  • Exiting: Exits are moved through People Operations platforms quickly and all tasks assigned to appropriate team members in the process.
  • Maintaining personnel files electronically

Policy Support
  • Drafting initial policy iterations. Drafting policies in initiation of new policy needs and managing policy processes by assigning appropriate colleagues with process tasks.
  • Maintaining the policy database and archive.

Employee
Recognition Program Administration
  • Employee gifts and awards. Work with the Office Manager to ensure delivery of birthday cards/gifts, holiday cards/gifts, and anniversary cards/gifts. Maintain awareness of important life events such as births, graduations, accidents, etc and communicate the leadership team’s sincere wishes at these critical moments. Work with execs to administer performance-based awards and recognition programs for faculty and staff.

Compensation & Benefits Assistance
  • Substitute pay. Ensuring substitutes are paid timely through task management. Liaison with the Accounting Assistant following each pay period to ensure employees are set to receive accurate payroll on pay dates according to updates during the respective pay period, to include PTO, leave, and substitute assignments.
  • Benefits administration. Coordinate annual health & wellness challenge. Assist with the implementation of a healthcare plan.

Company Training Compliance Tracking
  • Compliance: Participate in any compliance-related reporting requirements. Protect WL's interests regarding all local, state, and federal legal employment obligations. Ensure that all necessary state employment-related training modules are completed timely by employees. Follow up with employees on module completion.
  • Workers’ Comp & Unemployment: Respond to employment verifications. Perform employment verifications upon request. Respond to and perform employment verifications upon request.

Minimum Qualifications

  • Associate's degree in Human Resources Management or relevant field or Certification in Human Resources
  • 1 year of experience in policy writing and electronic records management
  • 1 year of experience onboarding and exiting process experience
  • 1 year of experience developing Human Resources systems and processes

Preferred Qualifications

  • Bachelor's degree in Human Resources Management or relevant field
  • 1 year working knowledge of employment law
  • 2 years of experience in policy writing and electronic records management
  • 2 years of experience onboarding and exiting process experience
  • 2 years of experience developing Human Resources systems and processes

Compensation & Benefits

  • 20 hours per week
  • $18 per hour
